Getting the 3CX softphone onto your PC takes about two minutes once you know where to look. This guide covers how to install 3CX on Windows – the desktop app your team uses for day-to-day calling – plus a note on installing the 3CX server itself for administrators.
Before you start
- You need your 3CX welcome email (it contains your web client URL and login) or your login details from your administrator. If Tronic manages your system, this came from us when your extension was created.
- A Windows 10 or 11 PC and a headset. Any USB headset works; see our handsets and devices range if you need one.
Install the 3CX desktop app on Windows
- Log in to the 3CX web client in your browser using the URL from your welcome email (it looks like yourcompany.3cx.com.au). See the web client guide if you get stuck at this step.
- Click your avatar or the menu and look for Apps (on current versions: avatar > Apps, or the install prompt shown on first login).
- Choose Windows Desktop App and download the installer.
- Run the installer and accept the defaults.
- When the app opens, it will provision itself automatically from your web client session (or by scanning the QR code / opening the provisioning link from your welcome email). No SIP settings to type in.
- Make a test call. Done.
Prefer not to install anything? The web client alone is a fully featured softphone – many teams never install the desktop app at all. There are also Android and iOS apps for your mobile.
Common installation problems
- No audio or one-way audio: check Windows sound settings point at your headset, and that your firewall allows the app. Our SIP and firewall requirements guide covers the ports.
- App will not provision: your welcome-email link may have expired – ask your administrator (or Tronic) to resend the welcome email, which regenerates it.
- Calls ring the wrong device: your extension can be registered on several devices; see our guide to troubleshooting the 3CX apps.
Installing the 3CX server on Windows (administrators)
The 3CX PBX server itself can be installed on Windows or Linux, or run in the cloud. In practice, very few Australian businesses should self-host: you take on updates, security hardening, backups, SIP trunk configuration and monitoring. A managed deployment like 3CX powered by Tronic Cloud gives you the same system, hosted on Australian infrastructure, with local support – and small teams can start on 3CX StartUP at minimal cost. Frequently asked questions
Is the 3CX Windows app free?
Yes – the desktop, web and mobile apps are included with every 3CX system at no extra charge.
Do I need a desk phone as well?
No, the app is a complete softphone. Many businesses mix and match: apps for most staff, Yealink desk phones for reception and heavy phone users.
